Inactivate or Reactivate a Product

Note: This feature will be available in Preview until June 16. The details in this article may change before the official Quarter 2 release.

Products can be set to Inactive when they are no longer actively used but should remain stored in the system for historical reference. When inactivating a Product, users can also choose whether associated Documents should remain active or be inactivated at the same time.

Inactive Products:

  • No longer appear in standard active Product views 
  • Cannot be shared or updated in active workflows 
  • Remain available for reporting and historical reference 
  • Can be reactivated later if needed

Keep the following in mind before inactivating a Product:

  • Inactivating a Product does not permanently delete it 
  • Products can be reactivated at any time 
  • Associated Document behavior depends on how those Documents are linked within the system 

Inactivate a Product

  1. Navigate to Products 
  2. Locate the Product you want to inactivate 
  3. Select the options menu next to Actions
  4. Select Inactive Product 
  5. Choose an option:
  6. Product Only: Inactivates the Product while keeping associated Documents active.
  7. Product and Documents: Inactivates the Product and archives all eligible associated Documents.
  8. Click Inactivate

Document Inactivation Rules

Document behavior depends on how the Document is associated in the system.

Tip
Only Documents exclusively associated with the selected Product are archived during Product inactivation.

If a Document is associated only with the Product being inactivated:

  • The Document is included in the modal document count 
  • The Document is archived during Product inactivation 
  • Related To-Do items are removed

If a Document is associated with multiple Products:

  • The Document remains active 
  • The Document is not included in the modal document count 
  • The Document is not archived 

Reactivate a Product

Inactive Products can be restored at any time. 

  1. Navigate to Products 
  2. Enable the Inactive column if needed 
  3. Filter the list to display inactive Products 
  4. Open the Product action menu 
  5. Select Reactivate Product 

When a Product is reactivated:

  • The Product becomes available in active workflows again 
  • Previously archived Documents may also be reactivated, depending on the selected action 
  • The Product becomes visible in active Product lists
