Your Community Owner may assign specifications to your products or locations to define requirements that must be met as part of your business relationship.
When a specification is assigned to your location, you will receive a notification prompting you to review the request and take action. Depending on your configuration, you may be able to acknowledge the specification, reject it, or request a variance for specific requirements.
To respond to a specification request:
- You must be assigned to the location receiving the specification.
- You must have access to the Specifications area of FoodLogiQ.
- Your community owner must have assigned a specification to your location.
Access a Specification Request
When a specification is assigned to your location, you will receive an email and a product notification:
Via Email
- Open the Trustwell email notification.
- Select Review Specification.
In App
- Log in to FoodLogiQ.
- Select Specifications from the left navigation menu.
- Open the Inbound Specification Requests tab.
- Select the specification with a status of Awaiting Response.
Review the Specification
Review all specification requirements before taking action. Specifications may contain:
- Product requirements
- Ingredient requirements
- Quality standards
- Custom attributes defined by your customer
- Supporting instructions or notes
The actions available to you depend on how the specification was configured by your customer.
Respond to the Specification
Select Actions in the upper-right corner of the specification and choose one of the available responses.
Acknowledge
Select Acknowledge when you agree to comply with the specification requirements.
When acknowledging a specification:
- Select Actions > Acknowledge.
- Complete the electronic signature form.
- Submit your response.
Your acknowledgement is recorded within the specification and indicates your commitment to meeting the requirements provided.
Request a Variance
If your customer allows variances for one or more specification attributes, you may request approval for an alternative value. See: Submit a Variance Request

Variance requests are only available when your customer has enabled them within the specification template.
Reject
Select Reject if you cannot comply with the specification requirements.
When a specification is rejected, your customer is notified and can review the reason for rejection.
Track Specification Status
After you submit your response, the specification status updates as it moves through the review process.

| Variance Requested | A variance request has been submitted and is currently being reviewed by the Community Owner. | ❌ No | Wait for the Community Owner to review your request. |
| Variance Reviewed - Awaiting Location Response | The Community Owner has reviewed your variance request and requires additional action from your location. | ✅ Yes | Open the specification, review comments and decisions, then respond accordingly. |
| Specification Acknowledged | Your location has agreed to comply with the specification requirements. | ❌ No | No further action is required unless the specification is updated. |
| Specification Rejected | Your location has indicated it cannot comply with the specification requirements. | ❌ No | No further action is required unless a new specification is assigned. |
You may receive additional notifications if further action is required.
