Sharing Form Entries

Note: This feature will be available in Preview until June 16. The details in this article may change before the official Quarter 2 release.

When form entries are created they have a workflow that routes them between members of your internal team, distributors, and suppliers. For more information on how to setup those workflows review in the article Configuring Form Workflows.

There will be times that the information in an form needs to shared with someone outside of the workflow that has been setup for it. There are two methods for sharing the form entry information.

Methods for Sharing Form Information

1. Downloaded as a PDF. Click thebutton to download as a .pdf

2. Via a unique link. Click thebutton on the incident detail page to capture the link.

 

Details on Sharing Form Entry Information

1. To Download as a .pdf on the Form Entries page, check the box next to  the incident you wish to share and Click thebutton to download as a .pdf

2. To share via a unique link. On the Form Entries page, locate the Form you wish to share via its link and click on it to open the Details page. From there, click the button located in the upper right hand corner to get a shareable link.

PDF vs Incident Link

The PDF version is a good option when the person being shared does not have access to Connect. The PDF file contains all of the captured information at that time as well as embedded images. The history of the form entry is not viewable from the PDF. A PDF is a good option when someone needs specific information about the entry, is creating a log of entries, or as previously mentioned does not have access to Connect.

Sharing the link requires that the person using the link has access to Connect AND the ability to view that entry. Access to view the entry is important to stress because someone could be restricted by permissions of their role or by the status of the entry from viewing. The link is a good way to share internally for quick reference and also to direct a supplier to a form they just can't find.
